CEO and CCO Description of Position:
The office coordinator will contribute by assisting the entire team including the CEO, CIO, Advisors, and Planning team in serving clients.
This will be achieved in a host of ways from booking travel, event planning and coordination to general office duties.
This is a full-time position (40 hours per week Monday through Friday)
Essential Functions:
Responsible for maintaining and scheduling calendars for the CEO, the Planning team & Intentional Ownership team Book travel for CEO and other Leadership team members Manages social media electronic communication to include Facebook, LinkedIn, websites, weekly market commentary, newsletters etc.
Delivers Ritz Carlton service to the clients we serve as well as serving as personal assistant to the CEO Client appreciation tasks Assists with setting appointments for clients Responsible for setting appointments for CEO Coordinates all company events and activities From scratch party planning Venue research, planning and reservations, etc Answers and directs all incoming phone calls to the appropriate location.
Greets all clients and visitors that come to the office Maintains welcoming environment for clients and visitors Assist with Paperwork Submission as needed Handle Incoming/Outgoing Correspondence/Mail/Packages Maintain and update Workflows & SOP documentation as needed Maintain reporting logs:
non-cash, gifts & gratuities, etc.
Assists in coordinating weekly Team Meetings Prepares agendas Disseminates minutes, resulting tasks, and timelines for completion Orders office supplies Other duties as assigned Required Skills and Abilities Excellent interpersonal and customer service skills Excellent communication skills Extremely organized Adaptable & Flexible in a growing organization Task Oriented (list lover) Ability to prioritize tasks effectively Naturally fast-paced multi-tasker Strong time management skills Obsessed with details Party/event planning experience Experience with general office skills/equipment Optimistic & Socially Oriented Some technology expertise (Word, Excel, social networking, website design, etc) Work Environment and Physical Requirements Quiet office environment with minimal noise levels Long periods of time seated at a desk typing on a computer Long periods of time in front of a computer screen Minimal lifting of under 25 lbs Minimal stooping, bending or walking Job Type:
